Most billing software demos are given in an air-conditioned room with a stable connection and one customer in the queue. That is not Hatia Bazar at eleven in the morning, and it is not a Moolganj wholesale counter on a Saturday. The features that impress in a demo and the features that matter at a real counter are almost entirely different lists.
This is the second list.
The offline question, first
Ask any Kanpur trader what actually goes wrong and the answer is the connection. When the internet drops, cloud-only billing software stops billing. The queue does not stop, so someone reaches for the kaccha bill book, and that evening's stock figures are wrong for the rest of the month.
So the first question for any vendor is: what happens when the internet goes? There are three honest answers, and only one of them is good:
- “Billing stops.” Cloud-only. Fine for an office, wrong for a counter.
- “It queues and syncs later.” Acceptable, as long as invoice numbering cannot collide when two terminals reconnect.
- “It runs locally and syncs when it can.” The right architecture for retail and wholesale in India.
If a salesperson tells you the connection is never a problem, they have not worked a counter.
What actually matters, in rough order
- Billing speed. Keyboard-first, barcode-driven, no mouse. If a bill takes more than about fifteen seconds the staff will quietly go back to the bill book.
- Correct GST handling. Multiple slabs on one invoice, CGST/SGST versus IGST by state, HSN codes, credit notes. Getting this wrong is not a software inconvenience, it is a notice.
- E-invoice and e-way bill. Generated from inside the software, not re-keyed into the portal. Re-keying is where errors and hours both go.
- Live stock across godowns. If the shop and the godown hold separate truths, you will oversell.
- Batch and expiry. Non-negotiable for pharma, food and chemicals. Ignorable for hardware.
- Party ledgers and outstanding. Most Kanpur trade runs on credit. Who owes what, and for how long, is the report the owner actually opens.
- Tally sync. Your CA works in Tally. Software that cannot hand over cleanly creates a second month-end job.
Ready-made or custom?
Be honest about this one. For most traders, ready-made is the right answer. Products like Vyapar, Marg and Busy are mature, cheap, and cover standard trading properly. If you sell items, take payment and file GST, buy one. We tell people this regularly, including people who came to us for a quote.
Custom starts making sense at the edges, and the edges are where Kanpur businesses tend to live:
- You sell in units you buy in — cloth by the than and by the metre, hardware by box and by piece — and the conversion is yours.
- Your rate depends on the party, the season, or a negotiation, in a way no dropdown expresses.
- You run job-work: material goes out, comes back changed, and has to be tracked through.
- Multiple firms under one roof with one physical stock.
- Somebody exports to Excel every month to produce the one report that matters.
If two or more of those describe you, a custom billing and inventory system will pay for itself. If none do, save your money.
What each option costs
| Option | Cost | Best for |
|---|---|---|
| Ready-made, single user | ₹3,000 – ₹10,000 / year | One counter, standard trading |
| Ready-made, multi-user | ₹10,000 – ₹40,000 / year | Shop plus godown, a few terminals |
| Custom build | from ₹99,999 once | Non-standard units, rates or job-work |
The subscription figures climb with users and renew every year. The build does not, which is the whole argument — but only once your process genuinely does not fit the products.
Five questions for any vendor in Kanpur
- “Bill this in front of me.” Bring your most awkward item — the one with a unit conversion or a party-specific rate. Watch them do it, do not watch a slide.
- “Show me an e-way bill generated from inside the software.”
- “What happens to my data if I stop paying?” Get the export format in writing.
- “Who trains my counter staff, and where?” On-site matters. Software the staff avoid is money burnt.
- “When something breaks on a Saturday, who picks up?” A local team you can visit is worth a premium here.
The migration nobody plans for
Whichever way you go, moving years of party masters, item masters and opening balances is the part that goes wrong. Do it in this order: item masters first, then parties, then opening stock, then opening balances — and run the old system alongside the new one for one full month, comparing the closing figures. Switch only when they match.
Every migration we have done in Kanpur has turned up duplicate parties, items with three spellings, and stock on paper that is not on the shelf. That is normal. Better to find it during migration than during a GST audit.
Not sure which side of the line you fall on? Tell us what you sell and how you price it, and we will tell you honestly whether a ready-made product covers it. If it does, we will name one. Ask here — we are in Govind Nagar and happy to come and watch how you bill before quoting anything.
